Privacy Policy

How SHADOEVEX collects, uses, and protects your data. We collect only what we need to run tournaments — and we never sell your data.

1. Who we are

SHADOEVEX is the tournament organizer and data controller responsible for the personal data processed through this Platform.

2. Data we collect

  • Account: name, email, phone number, password (hashed), and role.
  • Team & roster: team name, tag, logo, location, and for each player an in-game name and Player ID.
  • Payments: the payment method used, transaction reference, amount, and the proof screenshot you upload. We do not store full card numbers; automated gateways handle card data directly.
  • Payouts: the account/wallet details you provide to receive prizes (stored encrypted).
  • Competition: match screenshots, results, standings, check-ins, and dispute records.
  • Technical: login history, device/browser information, and IP address, used for security and abuse prevention.

3. How we use it

  • To register and verify teams, run matches, compute standings, and contact you about your tournaments.
  • To process registration (service) fees and prize payouts, and to review manual payment proofs.
  • To secure the Platform, detect fraud and cheating, and enforce our rules.
  • To send service messages by email and SMS (match reminders, approvals, payment status, results).

4. What is public vs. private

  • Public: team name, tag, logo, player in-game names, match results, and standings — these are shown on public leaderboards and event pages.
  • Private & encrypted: phone numbers, payout/bank details, room IDs and passwords, and payment proofs are never shown publicly and are stored with encryption and access controls.

5. Sharing

We share data only as needed to operate: with payment providers to process fees/prizes, and with messaging providers to deliver email/SMS. These providers process data on our behalf. We may disclose data if required by law or to protect our rights and users. We do not sell your personal data.

6. Retention

We keep data for as long as your account is active and as needed for tournament records, financial/audit obligations, and dispute resolution. You can request deletion of your account; we may retain limited records where required by law or for legitimate business purposes.

7. Security

We use encryption for sensitive fields, hashed passwords, role-based access, activity logging, and secure file handling. No system is perfectly secure; you are responsible for keeping your own credentials safe.

8. Your rights

  • Access, update, or correct your profile and roster at any time from your dashboard.
  • Request a copy or deletion of your personal data by contacting us.
  • Opt out of non-essential messages; essential service messages tied to your active tournaments will still be sent.

9. Children

The Platform is not intended for children under 16. Participants aged 16–17 require parent/guardian consent. If you believe a child provided us data without consent, contact us and we will remove it.
